1. DEFINITIONS
“Candidate” means a user seeking to promote themselves using the Professional PA website to become a
potential or an actual Service Provider presented by Professional PA.
“Service Buyer” and “Hirer” mean a user wishing to use the Professional PA website to find and indentify a
potential Service Provider.
“Service Provider” means a potential or actual Service Provider presented by Professional PA.
“Our”, “Us” and “We” refer to Acquire Inspire Pty Ltd and/or Professional PA.
“You”, “Your” and “Users” refer to person(s) accessing our website and/or who are subscribers to the services
offered on and/or through the website.
2. APPLICATION
We respect your privacy and comply with the Privacy Act 1988 (Cth) and the Information Privacy Principles
contained therein.
We also comply with the Privacy and Personal Information Protection Act 1998 (NSW), pursuant to which you
have the right to know the information that we collect about users of our website, the purpose for which the
information is collected, how the information is used and to whom, if anyone, the information is to be disclosed,
as well as with the Spam Act 2003 (Cth), which deals with restrictions on sending emails.
Set out below is information that we require to communicate to our users. This information does not in any way
restrict our rights under the abovementioned statutes and/or any other applicable law and/or legislation.
This privacy policy does not apply to acts and practices of Acquire Inspire Pty Ltd and/or Professional PA which
relate directly to records of our former and current Service Providers.
Although our privacy policy specifically addresses our obligations in respect of the laws of Australia, we apply,
where practicable, the principles and the processes set out below to our operations globally, subject to any
requirements of local law.
3. COLLECTING INFORMATION ON PROFESSIONAL PA VISITORS
We may collect information on our website’s visitors collectively, including which sections of the website are
most frequently visited, how often and for how long. This data is always used as aggregated, non-personal
information. We may utilise this information to improve and enhance our services by monitoring the areas on the
website which are most popular to you.
3.1 IP Addresses
Our web servers may also collect your Internet Protocol (IP) address to assist with the diagnosis of problems or
support issues with our services. IP addresses are assigned to computers on the internet to uniquely identify
them within the global network. We collect and manage IP addresses as part of the service of providing internet
session management and for security purposes.
Please note that information is gathered in aggregate only and cannot be traced to an individual user.
3.2 Cookies & Applets
Cookies are an industry standard and most major websites use them. A cookie is a small text file that our
website may place on your computer. Usually, cookies are used as a means for our website to remember your
preferences. As such, our website uses cookies to provide you with a better user experience. These cookies
and applets allow you to use specific services such as an alert service which emails Service Buyers their
chosen candidates’ details and to manage your account with Professional PA. They will also allow our website
to remember who you are for Auto Login purposes if you choose this option and to remember your last search
criteria.
In some cases, cookies may collect and store personal information about you. We extend the same privacy
protection to your personal information, whether gathered via cookies or from other sources. Most internet
browsers are pre-set to accept cookies, however, you can adjust your Internet browser to disable cookies or to
warn you when cookies are being used.
Users who do not wish to accept cookies can set up their web browsers to refuse them. However, doing so will
prevent access to some areas of the website and limit your use of some of the Professional PA services. You
may not be able to take advantage of the improved web site experience that cookies offer.
3.3 Third Party Measurement
In order to better understand our users, we use tracking code to collect the following information on the usage of
our website:
- The number of page views or impressions;
- The number of unique visitors;
- How long those unique visitors spend on average on ProfessionalPA.com.au; and
- Common entry and exit points into the site.
This aggregate, non-personal information is collated to assist in analysing the usage of our website.
3.4 Third Party Sites
You may click through to third party sites from our website, in which case we recommend that you refer to the
privacy policy of those websites that you visit. Our collection statement and privacy policy apply to our website
only and we assume no responsibility for information and content of third party sites.
4. COLLECTING YOUR PERSONAL INFORMATION
As part of registering with us, we collect personal information about you in order for you to take full advantage of
our services. Our service relies on registration by candidates, Service Providers and Service Buyers. The data
collected is relevant to the services of matching candidates and Service Providers and Service Buyers.
4.1 Your personal information
Personal information held by us may include your name, date of birth, current and previous addresses,
telephone/mobile phone number, e-mail address, preferences for using our website, occupation and any other
information which we may require in order to provide you with our services (“the services”). We also hold details
of the services you use on our website, including their status, as well as certain details about your personal
interests.
If you choose not to provide us with certain personal information, we may not be able to provide you with the
services you require, or the level of service on which we pride ourselves upon.
Occasionally, you may need to provide personal information about other individuals to us (for example, about
your authorised representatives). If so, we rely on you to inform those individuals that you are providing their
personal information to us and advise them that we can be contacted for further information.
4.2 How we collect your personal information
We collect personal information in a number of ways, including:
- directly from you, when you provide information by phone, application forms or when you submit
- information to us through our websites (for example, by cookies);
- from third parties, such as our related companies, carriage service providers or your representatives;
- from publicly available sources of information;
- from the organisations identified below under "When we disclose your personal information";
- from our own records of how you use our services; or

Your personal information may be used in order to:

- assist you to subscribe to our services;

Your personal information is collected so that we can promote and market our services to you. We do this to
keep you informed of the services we believe you will find valuable. If you do not want us to promote and market
our services to you, please contact us via one of the methods set out below.
4.4 Your profile – How we use your personal information
There are four (4) levels of privacy which dictate four (4) different ways in which your profile is displayed:
- Search Summary - Shows your profile title and profile summary only. This view is completely anonymous and can be seen by any user (registered or not).

Public Profile - Shows your full professional profile including your work and education history.
This view is completely anonymous, and does not display your current Service Buyer. It can only
be viewed by registered Service Buyers and you as the owner of the profile.

Full Requested Profile - Shows your full professional profile including your work and education
history. This view includes your name and details of your current Service Buyer. This profile view
is protected. It is only accessible by way of a secure link sent to a registered Service Buyer with
the permission of the candidate. The secure link expires after 14 days from the date of issue to
prevent any unauthorised ongoing re-use. The full profile can also be viewed by our administration
staff.

Full Private Profile - This is a full and complete profile that can be viewed only by the profile
owner. The profile can be viewed in HTML online or can be downloaded in PDF format.
Users can modify or delete their profile at any time by going to the ‘'My Account' area of the website or by
contacting our administrators. Your full profile, including contact information, will be available to our
administrators and staff. The information on your profile may be used by our administrators to contact you
directly about specific work opportunities that are known to us outside of the Professional PA process model.
4.5 When we disclose your personal information
In order to deliver the services you require and for the purposes set out above, we may disclose your personal
information to other organisations. Your personal information is disclosed to these organisations only in relation
to us providing our services to you. These organisations may deal with or carry out our:
- customer enquiries;
- mailing systems;
- information technology services;
- marketing, telemarketing and sales services;
- market research; and
- website usage analysis.
We take reasonable steps to ensure that these organisations are bound by confidentiality and privacy
obligations in relation to the protection of your personal information. In addition, we may disclose your personal
information to:
- your authorised representatives or legal advisers (when requested by you to do so);
- fraud-checking agencies;
- our related companies;
- our professional advisers, including our accountants, auditors and lawyers;
- government and regulatory authorities and other organisations, as required or authorised by law;

transfer/sale of all or part of our assets or business (including accounts and trade receivables) and
those involved in managing our corporate risk and funding functions (for example, securitisation); and

5. STORAGE & SECURITY OF PERSONAL INFORMATION
We take all reasonable steps to ensure the security of our system and any personal information we may hold.
We allow you to access your information at any time to keep it accurate and up to date. Any information which
we hold for you is stored on secure servers that are protected in controlled facilities. We use a variety of
physical and electronic security measures, including restricting physical access to our premises and firewalls
and secure servers and databases to keep personal information secure from misuse, loss or unauthorised use
or disclosure.
In addition, our Service Providers and the contractors who provide services related to our information systems
are obliged to respect the confidentiality of any personal information held by us. However, we will not be held
responsible for events arising from unauthorised access of your personal information. You also play an
important role in keeping your personal information secure by maintaining the confidentiality of any password
and accounts used on our website. Users should also not include any personal or contact information in any
free text field on the profile builder.
The Internet is not a secure environment. If you use internet to send to, or receive from, us any information,
including your email address, you are doing so at your own risk. We cannot accept responsibility for the security
of information transferred over the Internet or for any misuse, loss or unauthorised use or disclosure of personal
information, whether electronically or otherwise, and any consequences thereof.
Please notify us immediately if there is any unauthorised use of your account by any other user or any other
breach of security.
6. SERVICE BUYER INFORMATION
Upon registering, all Service Buyers are invited to upload their company logo. By uploading the logo, you give
permission to us to display the logo on our website’s homepage to indicate search activity. No further details
about the company or recruiting manager will be displayed on public pages on our website.
7. ACCESS TO YOUR INFORMATION
Once you become a registered user, you are able to change and update your registered profile at any time. You
can also request your personal information directly from Service Buyers who have been granted access to your
full public profile.
You can request access to your personal information by contacting us by one of the methods set out below. For
security reasons, you may be required to put your request in writing.
We will, upon request, provide you with access to the personal information we hold about you unless there is an
exception which applies under the law.
If we refuse to provide you with access to the information, we will provide you with reasons for the refusal and
inform you of any exceptions relied upon under the law.
Your request to obtain access will be dealt within a reasonable time. We reserve the right to charge a fee for
searching for, and providing access to, your information.
8. ACCURACY
We take reasonable steps to ensure that your personal information is accurate, complete and up-to-date
whenever we collect or use it.
If any of the personal information we hold about you is inaccurate, incomplete or out-of-date, please contact us
immediately and we will take reasonable steps to correct this information or, if necessary, we will discuss an
alternative course of action with you.
9. CHANGES TO THIS PRIVACY POLICY
We may, without notice, amend this Privacy Policy from time to time by having the amended version available
on our website at www.ProfessionalPA.com.au. We suggest that you visit our website regularly to keep up to
date with any changes.
